AAA Compliance Services, LLC — Refund, Chargeback & Cancellation Policy

AAA Compliance Services, LLC (“AAA Compliance,” “we,” “our,” or “us”) provides private third-party transportation compliance services, including filings, permits, registration assistance, and process agent services. Because our work involves immediate preparation, processing, and submission of information on behalf of each customer, the following policies apply to all purchases made through our Platform.

Please read this policy carefully before placing an order.

1. Refund Policy

AAA Compliance may issue refunds for services purchased within 30 days of payment, subject to the conditions below.

 

Eligible Refunds

A refund may be granted only if:

  • The service has not been provided,

  • The filing or permit has not been submitted, and

  • Processing has not begun at the time the request is received.

Refunds will not be issued for:

  • Digital services already accessed, used, or processed,

  • Completed filings or permits,

  • Customized or prepared services created specifically for you,

  • Orders awaiting customer information for more than 30 days,

  • Services already submitted to the FMCSA, USDOT, or state agencies.

If a refund is approved, the amount will be returned to the original payment method. Please allow up to 15 business days for processing and posting to your account.

 

Refunds cannot be issued after:

  • 30 days have passed,

  • A filing, submission, or permit has been completed,

  • Service preparation has begun,

  • A compliance service has been activated on your behalf.

 

Partial Refunds

If you request a cancellation after we have begun preparing your order but before submission, AAA Compliance may, at its discretion, issue a partial refund to cover unrecoverable preparation costs.

2. Customer Responsibilities & Missing Information

If we request additional or corrected information and the Customer fails to provide it within 30 days, the order will be considered fulfilled to the extent possible.


No refund will be issued for delays caused by incomplete or incorrect information supplied by the Customer.

Once a filing or permit has been initiated or submitted, the order cannot be canceled or refunded.

3. Pricing & Description Errors

If a service is listed with an incorrect price or description due to error:

  • AAA Compliance reserves the right to cancel the order,

  • Any amounts paid will be refunded in full if the cancellation is due to our error.

4. Completed Orders During Peak Season

During peak filing periods, refund requests may overlap with service processing.
If an order is processed before we view or receive your refund request, no refund will be issued, as the requested service has already been fulfilled.

5. BOC-3 / Process Agent Service Refund Restrictions

If a BOC-3 filing or Process Agent service is:

  • Disputed,

  • Refunded, or

  • Canceled,

 

Then AAA Compliance Services, LLC:

  • Will immediately cease acting as your designated process agent,

  • Will reject, refuse, or return any legal documents sent to us on your behalf,

  • Will dispose of any documents we cannot return (e.g., shred or destroy) without notice to the Customer.

It is the Customer’s responsibility to appoint a new BOC-3 process agent to remain compliant with FMCSA requirements.

6. Chargeback Policy

Customers agree not to issue a chargeback without first contacting AAA Compliance to resolve the matter.

 

Chargebacks filed without prior written agreement will result in:

  • The Customer reimbursing AAA Compliance for all dispute-related fees,

  • Possible pursuit of legal action to recover owed amounts.

 

Chargebacks are not permitted if:

  • The service was delivered,

  • The filing or permit is active or on file with FMCSA, USDOT, or the applicable state.

We strongly encourage Customers to contact us before initiating any dispute.

7. Cancellation Policy

Customers may cancel an order within 30 days of purchase only if:

  • The service has not been processed,

  • The filing has not been completed,

  • The order is not currently in review or awaiting agency approval.

Once AAA Compliance completes a filing or permit, no cancellations or refunds will be issued.

 

How to Cancel

Your email must be received before 11:59 PM EST on the 30th day after purchase.

Upon valid cancellation, refunds (if applicable) will be issued within 15 business days.
